When ever there is an incident, this database allows it to logged centrally so everyone can view the details. These incidents can vary from behavioural matters to phone calls home or just general observations which you feel should be logged somewhere for that pupil. This database allows for all this, and once the incident is written about, it gets sent to varies members of staff around the school who can act on it.

Ofsted noted what an excellent tool the database is and that it was an 'excellent facility to support self evaluation'
Ofsted Report for The Abbey School Farnham, June 2006

The most useful part of the database is that each pupil can also be analysed individually and graphs can be made showing types of incidents / times of day the incidents are happening / subjects incidents are happening in. Graphs can be printed and used as evidence in such meetings as disciplinary hearings and Child Protection meetings. The database has been twice congratulated by the independent Chair at Child Protection Conferences as a system that with clarity evidences occurrences in that it can show positives & negatives, including recurring problems that are beyond the control of the school.

"At annual reviews parents are shown graphs of patterns of incidents if their son or daughter are the cause of unacceptable behaviours"

The database has been praised by the Head of Strategic Risk Management in Surrey CC, who said ‘The system is better than anything the county currently has, especially in relation to how you can analise incidents.’ Ofsted have also realised how useful the database can be. One school that has used the database since January 2005 has been congratulated by various external support agencies e.g. Behaviour Support from the multi professional team for the way the school evidence, track problems and then use the information to put in place strategies to overcome behaviour problems.

"As a form teacher the Record of Occurance database gives me excellent information about my students, facilitating resolution of many difficulties and 'informs me' of how students are working in all curricular areas."
